Introduction
The UK Harbour Masters’ Association and its appointed administration and event managers (UKHMA) are committed to protecting your personal information and complying with applicable United Kingdom data protection and privacy laws.
This Privacy Policy and Fair Processing Notice (the “Privacy Policy”) relates to the UKHMA’s use of any personal information that Members or prospective Members (the “Users”) provide through this website or otherwise voluntarily in response to information displayed on the website, login history and related collection of information by email, online form or telephone.
In order to help Users to protect their information, this notice will explain what information the UKHMA collects, why it is collected, what it is used for, how long it may be kept, who can access it and what your rights are.
Collation of Data

In operating this website, the UKHMA may collect the following information only with Users’ knowledge and consent;

  • Name
  • Address
  • Email address
  • Organisation
  • Contact numbers
  • Job Title
  • Where appropriate, your views and opinions.

The web server will record login data that your browser sends whenever you visit the website. These log files may include information such as your IP address, browser type, date and time of your visit.

Why it is needed

When Users provide this information, The UKHMA will process it primarily in connection with :

  • The development and enhancement of the website
  • Provision of operational and company related information.

What that data is used for

  • General product, membership and services sales
  • Administering Users’ accounts
  • To respond to requests for information submitted by Users on the website.
  • To send UKHMA newsletters and other relevant news and events items via email
  • To facilitate involvement in consultation initiatives on key strategic issues
  • To provide opportunities for participation in standing and special work groups; helping to shape industry good practice standards
  • To provide opportunities for input into the development of industry guidance for the UK’s ports sector
  • To give notice of availability and content at upcoming courses and seminars
  • To seek customer feedback to help improve the UKHMA’s professional services
  • To be listed in the online Members List
    Note: automated decision making processes will not be utilised.

How long is the data kept?

To meet legal data protection and privacy obligations, the UKHMA only holds on to Users’ information for as long as it is actually needed.

In practice, this generally means that User information is retained for the lifetime of the Users’ membership which is reviewed annually.

How will it affect you ?
The UKHMA processes information in a way that does not affect your data rights. Some of the information we collect from you is made manifestly public when agreed to.

Who can see it ?

The UKHMA restricts access to personal information and the parties that can access this information are;

  • UKHMA employees
  • Approved subcontractors who need to know that information in order to operate, develop or improve the service in accordance with this Fair Processing Notice.

How it is protected

All personal data that you supply to the UKHMA from the website is stored on servers provided by the UKHMA’s hosting provider. The UKHMA understands that its hosting provider only employs servers sited in data centres that have the highest level of security accreditation at the time of implementation.  For your protection, the UKHMA never stores any payment details and, where possible, personal data such as passwords is encrypted.

The UKHMA protects User data in alignment with GDPR 2016/679 and the Data Protection Act 2018
